What Is the Expense Tracker?

The Expense Tracker is a lightweight way to list business costs and see their combined amount. Enter an expense description, amount, and category to build a running list with a total and category subtotals. It can help a freelancer organize a small set of costs before entering them into a permanent bookkeeping system.

Track business expenses by category and see where your money goes. Use the totals to review spending and keep receipts and official accounting records separately.

How to Use the Expense Tracker

Enter a description in Expense... and a numeric amount in the field marked $. Choose Software, Hardware, Marketing, Travel, Office, Subscriptions, or Other from the category selector. Software is selected initially. Click Add to include the expense. Both description and amount must contain a value for the row to be added.

After adding a row, the description and amount fields clear, while the selected category stays in place. Total Expenses shows the running sum with two decimal places. Category rows show subtotals where the category total is positive, and the item list shows each description, its category, and its amount. There are no edit, delete, date, export, or save controls. Check each entry carefully before clicking Add, especially when entering several similar subscriptions.

Examples of Simple Expense Reviews

  • A freelance designer can list a software payment, a stock asset purchase, and a hardware accessory to see the combined outlay.
  • A consultant can enter travel and office costs from a single engagement to prepare for a separate reimbursement discussion.
  • A small studio can group a short list of marketing and subscription expenses before transferring the figures into its accounts.

For example, entering a $30 Software item and a $20 Subscriptions item produces $50.00 in Total Expenses, with a separate subtotal for each category. If you want the numbers to describe a particular month or project, include only the relevant costs. The tool does not provide period filtering or project tags, so that grouping is your responsibility rather than an automatic feature.

Tips for Keeping an Expense Tally Useful

  1. Use descriptions you will recognize later. A supplier name plus the purpose is more informative than a generic label such as payment.
  2. Keep one currency basis. The interface displays dollar amounts and does not convert currencies, so convert any mixed-currency costs separately before adding them.
  3. Apply categories consistently. Decide where recurring software belongs and use the same approach throughout the list to avoid confusing subtotals.
  4. Preserve receipts and records elsewhere. Copy your expense list before leaving or refreshing; there is no save or export button.
  5. Do not mistake expense totals for profit. Revenue, fees, taxes, and other adjustments need a separate calculation. Transfer verified amounts into your accounting workflow rather than relying on this temporary tally as a financial ledger.
