What Is the Email Frequency Planner?
The Email Frequency Planner provides a preset sending-frequency suggestion based on business type. It can help you start a conversation about an email marketing schedule when you are unsure how often to send. The interface shows a suggested cadence, a short explanation, and general tips for reviewing your approach.
The recommendations are fixed category defaults, not calculations based on your engagement history. The planner does not connect to an email platform, inspect campaign performance, or discover the best frequency for an individual audience. Treat it as a planning starting point rather than proof of an optimal schedule. Your content, subscriber expectations, and actual response to campaigns still need to guide the final decision.
How to Use the Email Frequency Planner
Choose Business type from Ecommerce, Saas, Newsletter, Agency, or Personal Brand. Newsletter is selected initially. The recommendation changes immediately with the selection; there is no Calculate button. You may enter a number in List size (optional), but the size does not change the recommended cadence.
The fixed suggestions are 3-5 emails per week for Ecommerce, 1-2 per week for Saas, one per week for Newsletter, 2-4 per month for Agency, and 1-2 per week for Personal Brand. A list size above 10,000 adds a note about considering segmentation for more targeted, less frequent messages to each group. At 10,000 or below, that note is not displayed. The number is a display condition for advice, not an audience analysis or a volume-based scheduling formula.
Examples of Using a Frequency Starting Point
- A newsletter writer can use the weekly default to sketch a manageable editorial routine, then compare it with what subscribers were promised at signup.
- An agency can use the monthly range to discuss whether it has enough worthwhile material for the proposed schedule.
- An online shop can review the Ecommerce range while considering how much of its audience should receive each type of message.
These examples are planning exercises, not guarantees that a listed cadence will suit every recipient. Different campaigns may reach different groups, and several overlapping schedules can create more messages for one person than expected. The tool does not combine broadcasts, automated sequences, or service messages into a per-subscriber total, so review that workload separately in your sending system.
Tips for Choosing an Email Sending Schedule
- Start with subscriber expectations. Check what you promised when people signed up rather than treating a business-type label as permission to send more often.
- Match frequency to useful content. A calendar is easier to maintain when each message has a clear purpose and enough substance to justify the send.
- Review real feedback outside the planner. Use your platform's results and direct subscriber comments to assess whether the schedule remains appropriate.
- Test changes carefully. Compare a clearly defined change while keeping the content and audience context in mind; this tool does not run or measure experiments for you.
- Account for overlapping messages. Look at the total experience for each audience group, not just the frequency of one newsletter. Record the final schedule separately because the planner does not create a calendar, save a campaign plan, or control sending limits.

Frequently asked questions
Does list size change the recommended frequency?
No. Business type determines the preset cadence. A list size above 10,000 only adds a segmentation note.
What is the default recommendation?
Newsletter is selected by default and shows one email per week.
Does it analyze my email campaign results?
No. It has no connection to campaign data and displays fixed suggestions.
Can the planner schedule or send emails?
No. Use the recommendation as a planning reference and manage scheduling in your own sending platform.
